Situation

A Fortune 500 tech company hosting a cybersecurity event for 10,000+ attendees needed 350 session decks reviewed for critical security messaging and brand integrity given the high-profile nature of cybersecurity topics.

Challenge

​The event managers didn’t have the bandwidth or expertise to complete this work, and they were seeking help developing a plan that would efficiently and effectively reduce content risks across all the presentations during the 3 weeks leading up to the event. They also needed an onsite content governance strategy to ensure that no unapproved changes were made to session content.

Solution

​We designed a content process that minimized churn and optimized editorial reviews for the most high-priority issues, such as messaging and brand alignment, making it possible for our team to review and edit all 350 decks in the time allotted and hand them off to the production team on time. Onsite, we deployed a robust speaker ready room experience with strict version control, on-demand editorial services, A/V orientation, speaker coaching, and speaker collaboration areas. 

Results

During the event, approved content flowed successfully to the session rooms, with zero content risk escalations. Additionally, the user satisfaction score for onsite editing and speaker ready room services was 4.9/5.
