Situation

The third-party events team for a global tech company was planning a large show floor presence for a global retail tech event. They wanted to deliver a theater space in their booth with a full session schedule where internal tech teams and company partners could share their latest innovations and success stories. While the team had a track lead in charge of finding speakers to submit sessions, they didn't have the bandwidth to manage the content submission, review, and production process before and during the event.

Challenge

Session presentations delivered on the show floor needed to gain attention from busy attendees passing by, and any slides rolling in between sessions needed to help increase engagement and draw attendees in to watch the next session. As an added challenge, the company partners were also exhibiting at the event and had other priorities to focus on besides submitting session slides early.

Solution

We set an abbreviated timeline that didn't require more than two weeks ahead of the event for speakers to submit their presentation decks. Then, in addition to reviewing all submitted decks before the event, we sent 2 content experts to the event to ensure that sessions ran seamlessly and any last-minute updates were accommodated. We also designed engaging interstitial slides to help attract attention between sessions.

Results

We were able to accommodate all last-minute slide changes while improving the quality of the slide design and content readability. All 45 sessions ran seamlessly while allowing the events team to focus on supporting the sales team and serving customers.
